Safety & Safety Activity Checkpoints

Every adult in Girl Scouting is responsible for the physical and emotional safety of girls, and we demonstrate that by agreeing to follow these 12 Safety Guidelines at all times. As part of your safety responsibility as a volunteer, please become familiar with the safety information in the Safety-Wise chapter of the Volunteer Essentials Handbook.

Safety Checkpoints 

As you plan specific activities, use the checkpoints below to assist you in planning for a safe activity. Each checkpoint offers information on where to do the activity, how to include girls with disabilities, where to find both basic and specialized gear required for the activity, how to prepare yourselves in advance of the activity, what specific steps to follow on the day of the activity, and so on.

Volunteer Toolkit for Troop Leaders

The Volunteer Toolkit (VTK) is a digital resource that supports troop leaders and co-leaders, making the process of running a troop easier and more efficient. Check out some of the toolkit’s top features below. Then watch the video playlist above for a detailed walk-through.

With the Volunteer Toolkit, troop leaders can:

  • Plan the troop’s calendar year
  • Email parents with one click.
  • View the troop roster, renew girls’ membership, and update their contact information.
  • View Daisy, Brownie, and Junior Journeys and badges to plan for troop meetings.
                o   There are three prepopulated year plans in the VTK for                     Daisy, Brownie, and Junior leaders, with 15 meetings each.
  •    Customize meetings by troop year with other badge and Journey options.
  • NEW! Access the VTK as a multilevel troop (troops with a mix of girls in Daisy, Brownie, and Junior levels).
  • Explore individual meeting plans that show a breakdown of every meeting, including a list of the materials needed, and editable time allotments for each activity within a meeting.
  • Record girls’ attendance at meetings and their badge and Journey achievements.
  • Add council or custom troop events to the troop’s calendar.

Camp Reservation

If by Opening Day – May 2nd, 2022 - 100% of your troop*, all girls and all adults are renewed, your troop automatically becomes eligible for a FREE overnight at CAP or Friendship Square.

To redeem your FREE night and secure your spot at either CAP or Friendship Square (after fully renewing) use the Facility Reservation Request Form to request the preferred date for your overnight. Your troop may also purchase additional nights to prolong the FUN! These dates will be granted on a first come, first serve basis. Only requests received via the above form will be considered. This Early Bird incentive must be used by April 30, 2023.

* If a girl member in your troop is moving away from the area, moving to a different troop, or has communicated she is not returning, please contact your Membership Manager or Customer Care to have the girl removed from your troop roster prior to the Early Bird opening day.

Event Registration - Program Events, Volunteer Training, Camp

What is gsEvents

gsEvents is our new online registration system for program events. It is integrated with MyGS so you will log in with the same email address and password that you used when purchasing your Girl Scout membership. This also means that gsEvents already knows basic demographic information about Girl Scout members (grade, address, etc.) so you will not need to enter that during registration.

There are two ways to find events that are listed in gsEvents. We highly recommend that you search for program events using the Event List and the Event Calendar. This will show you all upcoming events in our council, including virtual events. Alternately, you can search for program events using the “Find Events” feature in MyGS. You will need to enter a zip code and adjust your search radius to locate events near you. For virtual events, you will need to enter zip code 83709 and make sure that “Include virtual events in my search” is checked.

How do I use the event list and event calendar to find events

The Event List and Event Calendar have the most updated information on current program events and trainings available for registration.

The Event List provides a list of all events with color-coded thumbnails next to them letting you know the event’s primary focus area. You can use the Advanced Search feature to filter events by date, program level, or focus category.

The Event Calendar shows all events by date. At the current time, we are not able to color code entries on the Event Calendar. We hope to be able to add this enhancement back in the near future.

What are the steps to register for an event/training using the events list or event calendar”

To register for an activity using the Event List:

  1. Select the event you would like to register for and click on the name of the event in green to see additional information. You can also click “Register Now” to go directly to the registration page.
  2. Select “Register Now”
  3. Follow the on-screen directions to register. If the event is in gsEvents, you will login with your email address and MyGS password. If registration is through a third-party vendor (ex., tickets to a sporting event), you will be directed to that vendor’s site to make your purchase.

To register for an activity using the Event Calendar:

  1. Select the event you would like to register for and click on the name of the event on the calendar.
  2. A box will pop up with a short description of the event. Click on the name of the event in green to see additional information.
  3. Select “Register Now”
  4. Follow the on-screen directions to register. If the event is in gsEvents, you will login with your email address and MyGS password. If registration is through a third-party vendor (ex., tickets to a sporting event), you will be directed to that vendor’s site to make your purchase.

What are the steps to register for an event using “find events” in gsEvents

To search for an event directly in gsEvents:

  1. Go to MyGS and log in using the email address and password you used when purchasing your Girl Scout membership.
  2. Click the Girl Scouts brand mark at the top left of the screen.
  3. Click “Find Events”
  4. Enter your zip code, or a zip code for the area in which you would like to find an event, and any other search criteria. Click “Search.” (For GSSG virtual events, enter zip code 83709 and make sure that “Include virtual events in my search” is checked.)
  5. Explore the list of available events, adjusting search radius and other criteria as needed. (Note that the pin on the map may not be completely accurate. It is directed at the center of the zip code in which the event is located.)
  6. Click “Event Details” for the event you are interested in.
  7. Make sure to click “Read more” in the description section to see all relevant information.
  8. Choose the number of girl and adult spots needed and click “Add events.”
  9. Complete the participant information for each participant. (Note, if you are a troop leader registering members from both your household and your troop, you MUST select “My troop member” from the "Assign attendees" section and register ALL participants from your troop list rather than your household list.)
  10. Select your payment method. (You will be required to select a payment method even if the event is free.)
  11. Click “Submit Member Details”
  12. Review your cart, check the box to agree to the Girl Scout Promise and Law, and click “Add Payment Details”
  13. Enter payment information and click “Submit Payment”

Why am I being redirected to another site

Registration or ticket purchasing for some of our events is through third-party vendors (ex., sporting events). When this is the case, you will be directed to the third-party vendor’s site directly to register or purchase your tickets.

You will see a pop-up requiring you to click “Continue.”

How do I register my troop for an activity online

With gsEvents, registering your troop is easy!

  1. Follow the instructions above to find the event you want to register for.
  2. Select the number of girl and adult spots needed for everyone you are trying to register.
  3. Click “Log In” or “Add Events” if you are already logged in.
  4. Under Assign attendees, select “My troop member” and choose the first attendee from the dropdown list. Note: If you are registering members from both your household and your troop, you MUST select “My troop member” and register ALL participants from your troop list rather than your household list.
  5. You will enter information and select a payment method for each registrant. If Program Credits are offered for the event, you will have the ability to select them as payment for girls who wish to use them and select credit card for adults and other girls.
  6. Click “Submit Member Details”
  7. Review your cart, check the box to agree to the Girl Scout Promise and Law, and click “Add Payment Details”
  8. Enter payment information and click “Submit Payment”

The event says that there are waivers…

To see all waivers required for an event:

  1. Log in to MyGS
  2. Click the yellow “My Account” button at the top right
  3. Click “My Events” in the left navigation menu
  4. Click on the event to bring up additional details
  5. You will see a section titled “Additional Documentation” that will have links to the required waivers and paperwork.
How do I pay the balance due for an event

If the event with a balance due is in gsEvents:

  1. Log in to MyGS
  2. Click the yellow “My Account” button at the top right
  3. A balance due notice will pop up across the screen
  4. Click “Pay Now”
  5. Enter the amount you’d like to pay towards each outstanding line item.
  6. Follow the steps to complete the payment.
Why is MyGS Account showing a balance due for my Troop Members?

A balance due will show for members of your Troop on your Troop account, even if you did not place the order.  This is because both Troop Leaders and adults in a member’s household are able to pay balances due for a registration placed through gsEvents.  The balance due will also always show on the member’s household account meaning they are able to pay the outstanding balance due.

I accidentally added an event or extra person…

If you are still in the “Add your details” screen, scroll to the bottom and click “Remove participant” located in the center of the screen between the “Submit Member Details” button and the cart total.

If you have already submitted member details, click “Review Cart” or enter your cart by clicking the trefoil at the top right of the My Account Screen and then clicking “Review Cart”. Under the registrant’s name, you can click “Remove”. A pop up will appear asking if you are sure that you want to remove the event. Click “Yes I’m sure.”

I’m having some trouble with gsEvents…

If you are experiencing trouble finding events or registering for events in gsEvents, please check out this list of common tech support questions. I’m searching for an event in gsEvents and it is saying there are no events that match my search. First try refreshing your screen. If no events populate, try adjusting your search filters or expanding your search radius. If you are still not seeing events, please clear your cookies or try a different browser. You can also find all GSSC upcoming events on our Event List or Event Calendar.
I’m registering for an event and the “add payment details” or “submit” button is greyed out. Make sure that you check the box accepting the Girl Scout Promise and Law on the right side of the screen. Once that box is checked, the “add payment details” or “submit” button should turn green and allow you to click it.
I’m trying to register my Girl Scout/a Girl Scout from my troop for an event. I see her name in the dropdown, but she is greyed out and I cannot select her. If you see a Girl Scout’s name in the dropdown and her grade level and “Council: 647” are displayed in parentheses, this means that she does not meet the criteria for registration for that event. Her grade level may not match the grade levels required for registration or her membership may not be up to date. Check her information in My Account. If there is an error in her profile, please complete a Contact Us form and our Customer Care team can assist you with getting it corrected.
I’m in my MyGS account. How do I get back to search for events or see the event I was trying to register for? The easiest way is to click the Girl Scouts brand icon at the top left of the screen and then select “Find Events”. You can also go back to the Event List or Event Calendar link and press “register now”.
I’m a leader and I’m trying to register my troop members for an event. However, I am only seeing the members of my household. Why can I not see my troop members?

This can happen for a variety of reasons:

  • Your troop leader role is not currently active. You can check on this in My Account. If you see that your role is not active, please complete a Contact Us form and our Customer Care team can assist you with getting it corrected.
  • You already registered one participant for the event using the “my household” dropdown. If this is the case, you will probably need to cancel all participants and start the registration over, selecting all participants from the “My troop member” dropdown. If you need assistance, please give us a call at (208) 377-2011
  • There is an issue with your account not syncing correctly between systems. If your role is active and you have not yet registered a household member for that event, please complete a Contact Us form letting us know that you are an active leader who cannot see their troop on gsEvents. We can submit a ticket with GSUSA to fix this error. If you are worried about spaces in the event filling up while we get that fixed, check with your co-leader to see if they have access to register all troop members, ask individual caregivers to register their Girl Scouts, or call us at (208) 377-2011 and we can assist you.
